Company overview

One of Australia’s leading retailers, Coles Group, is home to some of the country’s most trusted brands, including Coles Supermarkets, Coles Liquor, and Coles Financial Services. The company was founded in 1914 and today has multiple digital platforms and more than 1,800 retail outlets. With more than 115,000 employees, Coles Group is one of the largest employers in Australia and serves millions of customers every week through its brick-and-mortar and online channels.

The challenge

For the Technology Finance group, managing the company’s IT finances had become complex with room for efficiencies. The process was largely spreadsheet-based. Over 40 Excel workbooks were used to help manage end-of-month processing. Team members spent more time tracking down information and validating workbooks than analyzing data to help improve the business.

“Every month, the team had to cut up the data, provide it to all the different cost center owners, tape it back together, hoping that they’ve got the latest version, and then consolidate all the data into a single spreadsheet,” said Pierre Talevski, Apptio Product Owner and Lead Business Analyst at Coles Group. “We needed to simplify the process.”

Simplifying the process was the primary goal. Company leaders, however, also wanted a solution capable of helping them better understand and get increased value.

The solution

Coles Group decided to implement Apptio to address this challenge. The management team chose Apptio because of the solution’s flexibility, superior functionality compared to other solutions, and the strong relationship they had already formed with Apptio as an IBM Cloudability customer.

The results

By implementing Apptio, Coles Group simplified its BAU (business as usual) financial processes. Apptio centralizes IT BAU financial data, removing the need for over 40 spreadsheets and replacing some manual processes.

Apptio also has been integrated with the company’s SAP system, so actuals are updated daily. Cost center owners now have a single source of truth for timely data on their budgets, actuals, and forecasts, further streamlining processes.

According to Talevski, Apptio not only simplifies the company’s financial processes but also has built-in functionality and back-end flexibility that enables Coles Group to customize views that deliver insightful information for analysts and leaders.

“Apptio helps our team work more efficiently, and it gives them insights into the financial data much faster than they had before,” she said. “We can manage the back end of the system. We have the ability to take in a whole range of different data and customize it either through reports that our customers see on the front end or in the tables in the back end. With Apptio, our team can now spend more time doing meaningful data analysis work.
